Administrative Assistant/Finance Staff Member

Work Schedule: Monday-Friday: 8:30Am-5:00PM

  • Responsible for providing Administrative Support to accomplish the completion of tasks as needed throughout the organization as follows:

 

  • New Applicant Interview Process
  • Career Fair/Job Fair Participation
  • Physician Notification Form (PNF) Processing
  • Completing Patient Satisfaction Surveys quarterly
  • New Referral Intake Support- Administrative Assistant will serve as a back-up to Case Coordinator for new referrals
  • Payroll Paperwork Processing Assistance-provide support to Payroll as needed by reviewing submitted staff time-sheets and documentation from shifts worked to ensure good order of paperwork
  • Provide support to the Staffing Department pertaining to weekend and monthly schedule confirmation phone calls
  • As needed when front desk personnel are absent, away from their desk or on the phone, the Administrative Assistant will provide assistance with answering incoming phone calls, provide staff with supplies (paperwork/forms, gloves, hand-sanitizer) when requested, and/or assist walk-ins with application process for new hires
  • Provide assistance to the Clinical department and the Administrator on tasks involving State surveys and audits, compliance monitoring, credentialing and re-credentialing
  • Responsible for the management of Accounts Receivable in coordination with the Head of Finance/Administrator. This will involve making phone calls to the insurance companies to follow-up payment of patient claims and/or claims adjustment.

Special Qualifications / Education / Experience

  • An individual who can wear many hats, deal with challenging people and situations.
  • Must possess positive, enthusiastic attitude, good people skills, and professional appearance.
  • Proficiency with computers and office equipment is mandatory for administrative assistant and finance personnel. The ability to use variety of office software, such as email, scheduling, word processing and spreadsheet programs is required.
  • A high school diploma that includes some technology and business classes or some college education will be a plus, such as a couple of years at a community college or vocational school, with courses in computer, communication and office skills.
  • Three (3) years’ experience as an Administrative Assistant or Accounts Receivable staff.
